One of federal client, located in looking for Project Scheduler is responsible for developing and managing the detailed project schedule in MS Project. They are responsible for overall project scheduling and tracking, working closely with the Project Manager, Project Leads & PMO to ensure continual work across all project streams and the effective use of resource to meet agreed milestones. They ensure that via a well-defined schedule the project delivers the required products and services within the specified tolerances of time, cost, quality, scope, risk and benefits. This position reports directly to the Project Manager with functional reporting to the PMO
Job Description

  • Responsible for preparation, maintenance and reporting on all aspects related to Project Schedule.
  • Work closely with Project Manager and Project Leads to develop and maintain detailed resource loaded schedules of projects using MS Project
  • Work in collaboration with the PMO to adhere to the Scheduling framework
  • Drive consistency of the project scheduling approach with the Project Managers to facilitate accuracy in project execution and reporting
  • Work with Project Managers in identifying major milestones, decisions points, project life-cycle and other project events
  • Integrate multiple schedules into a master project schedule
  • Facilitate base lining, status updates and performance measurement baselines in alignment with ST&P PMO\’s ICT Schedule Framework
  • Develop and maintain summary level schedule reports of high quality using tools like – Gantt, PERT, milestone charts and other project/program management tools to support critical path analysis, work authorisations, priority based resource assignments, performance variances & support cost/schedule integration
  • Schedule estimating through elicitation of stakeholders requirements to capture estimations of new work, updated actions and remaining work
  • Develop schedule version control processes, policies and procedures and ensure compliance
  • Troubleshoot and monitor scheduling problems and undertake necessary corrections.
  • Coaching and mentoring to project team on Project Scheduling aspects
  • Manage integration of the Project Schedule within the Enterprise Sharepoint system and using the standard schedule template as provided by PMO
  • Update schedule in Enterprise Sharepoint on a regular basis and provide the schedule updates on the month end report
  • Facilitate and participate in weekly schedule review meetings
  • All other tasks as directed by the Project Manager and/or PMO related to delivering the Project;
  • Agree to participate in security vetting procedures prior to engagement and/or at regular intervals (generally every 12 months) during contract period.

Selection Criteria

  • Highly experienced user of MS Project and MS Office toolset (Word, Excel and Power Point) with advanced knowledge of managing Integrated Master Schedule (IMS) and the supporting detailed schedules
  • High level of experience in MS Sharepoint and Integrated Master Schedule
  • Demonstrated experience with a strong track record in scheduling ICT projects using contemporary project management methodologies and producing quality and accurate reports in schedule related project status
  • Excellent interpersonal skills with demonstrated ability to communicate at all levels with clarity and precision (orally, written and presentational) with proven facilitation, influencing, negotiation and strong analytical, problem solving skills and business acumen;
  • Demonstrate flexibility and adaptability in work style to better respond to multiple requests/tasks and handle sudden changes in priorities
  • Certification or formal training in project management scheduling best practice methodologies, with demonstrated skills and experience in using contemporary project management methodologies

Additional Program / Project Specific Job Descriptions

  • This role will be expected to create an integrated schedule for the four workstreams planned for BWV going forward
  • The scheduler will be responsible for keeping the schedule up-to-date in conjunction with the 4 stream leads
  • The integrated schedule will include internal BWV dependencies and dependencies with other projects and changes within client and with our external vendors
  • The integrated schedule will be used for reporting of schedule status, milestones, etc for each workstream and this reporting will be expected to be automated by the scheduling tool
  • Based at Parramatta, with flexibility to work between metropolitan sites in Sydney CBD and regional client sites as required

Additional Program / Project Specific Selection Criteria

  • Scheduling certification (desirable)
  • Prior experience in technology deployment projects
  • Familiarity with government processes, procedures and systems
  • Strong organisational and time management skills
